Online System for Sports Clubs Membership Management

The Ministry of Culture, Sports, and Youth representative of the General Directorate of Sports Activities met with a limited number of clubs representatives to present the initial demo of the electronic club membership management system, take all precautions to prevent any data leaks. Hilal bin Abdullah Al-Maamari, Director of the Special Entities Department of the Ministry of Culture, Sports and Youth, explained that the system aims to organize Functioning membership registers within clubs and easy process of affiliating and renewing membership. Moreover, Al-Maamari stated that the system consists of three main sections. Firstly, a section for new members, a section for active members of the club, and a section for the club management.
Moreover, the section for new members to applicants will allow the new member to submit the membership application, attach the necessary documents, make an electronic payment, and follow up their application electronically. In Addition, the section of active membership, allows members to renew membership, pay fees electronically, run for the Board of Directors, and update data. Also, it is viewing administrative, financial and activity reports, which indicates that working members will be able to submit proposals electronically before each General Assembly meeting. Following the procedures of the Statute of the Clubs. Therefore, the club management section, allows the management to review and approve membership applications within a specified period. The club management will also manage its membership data electronically and receive applications. That’s can help the candidacy to the board of directors electronically, study them, and refer them to the appropriate authority.
Additionally, the club will be able to upload financial, administrative, activity reports, and minutes of general assembly meetings in the system for easy access by the members. Also, the system will be linked to the directorates and departments of the ministries in the governorates and the departments of competence in the ministry. That’s can help to simplify procedures and organize the relationships between sports clubs and members of public associations. Hilal Al-Maamari stated that this system is considered among the pillars of governance in sports clubs through the sharing of information, data, and participation in decision-making.
We consider this offer as a trial to assess the effectiveness of the project in the next steps and the initial observations. After that, the workshops will be held for all clubs and ministry employees in all governorates according to a program prepared for the next stage.
